Privacy Policy

This policy explains what information KioskMate holds, why it is held, and the choices available to the people it belongs to.

1. Information we collect

Account information: your name, email address, password hash, avatar, time zone and the organizations you belong to.

Workplace activity: presence status, the rooms you enter and leave, messages and their attachments, meetings you host or attend, and notifications generated for you.

Operational data: technical logs needed to run and secure the service, including request metadata and error reports.

2. How the information is used

To operate the office: show presence, deliver messages, run meetings, apply role based access and generate notifications.

To administer organizations: give owners and administrators the membership, audit and analytics views they need to run their workplace.

To keep the service secure and reliable: detect abuse, investigate incidents and diagnose faults.

3. Visibility inside your organization

KioskMate is a workplace product. Your name, avatar, status and current room are visible to other members of your organization, and administrators can see membership records, audit entries and aggregate analytics.

Direct messages are visible only to their participants. Room conversations are visible to members who can access that room.

4. Guests

Guests joining through an invitation link provide only the name they enter and, optionally, an email address supplied by the host. Guests can see only the single meeting or suite they were invited to.

5. Storage and retention

Data is stored on managed infrastructure with access restricted to the systems that need it. Uploaded files and recordings are stored in secured object storage and served through short lived links unless deliberately made public.

Content is retained while your organization uses the service and for a reasonable period afterwards, then deleted.

6. Sharing

We do not sell personal information. Information is shared only with infrastructure providers acting on our instructions, or where disclosure is required by law.

7. Your choices

You can update your profile, avatar, status and notification preferences at any time from inside the app. Organization owners can export or request deletion of their organization’s data.

Where local law provides rights of access, correction, portability or erasure, we honour them.
